Collection and Use of Information

The personal data you provide will be accessible to authorised NATO CCDCOE staff and will primarily be used to process your CyCon registration and facilitate your participation in CyCon, including the performance of potential contractual relations established between you and NATO CCDCOE. In addition, we may contact you regarding information concerning CyCon as well as for marketing purposes concerning our next conference if you have given us your consent.

If you are a speaker or moderator, your personal data like name, surname, occupation, workplace, photo and biography can be also made publicly available for marketing and informative purposes on NATO CCDCOE website and social network profiles (Facebook, LinkedIn, Twitter), and our printable materials.

The organisers of CyCon may regularly compile aggregate statistics concerning registered participants. This information will be used strictly for administrative purposes related to CyCon.

We take photographs and video material at CyCon and we may use these materials on NATO CCDCOE and CyCon websites and social media channels (YouTube, Facebook, LinkedIn, Twitter, Flickr) to enhance awareness of our events.

If NATO CCDCOE provides your travel and/or accommodation for CyCon, additional personal data may be collected with your permission.

The Kind of Personal Data Collected

For registration and attendance, CyCon organizers process: prefix or rank; first and last name; e-mail address; institution (workplace or representing establishment) or workplace; position; country; mobile phone number; optional – food preferences.

For speakers and moderators, the personal data may include in addition: biography, publications; information on education, experience, fields of expertise; photography and/or video material.

If CyCon arranges your travel and/or accommodation, we may also need your: dates and times of travel; airports of arrival and departure; passport information: birth date, nationality, passport number, country of issue, expiration date, personal code or ID number.

For any payment reimbursements, we will ask you to provide: address of residency; bank; bank account number (IBAN format); SWIFT code (for USA – ABA routing number and bank address).

No Release of Information to Third Parties

We generally keep your personal data strictly confidential and for our internal purposes only, storing them only as long as is necessary to achieve the required purpose, unless mandated to store the data longer in accordance with applicable laws and regulations.

In some cases, we may incur an obligation to share your personal data with public institutions, officials and bodies under local laws and regulations and/or upon their request. We always make sure there is legitimate basis to do so (i.e. legal obligation or your explicit consent).

We may transfer or share your personal data if you require assistance with accommodation and travel in relation to CyCon. We only share your personal data to the extent necessary to perform the required task and with trusted providers of relevant services.

The same applies if you are not comfortable with any material published containing your image; just inform us accordingly and we will refrain from using such image in the future.
